A truck that is stopped for an expired document earns nothing, and the fine is often the smaller cost. For fleet owners running mining routes in India, the real loss is the missed trip. This guide lists the documents every truck should carry and a simple way to keep their expiry dates under control.
Which documents does a truck need to run legally in India?
Every commercial truck should carry a valid Registration Certificate (RC), insurance, a fitness certificate, proof of road tax payment and a Pollution Under Control (PUC) certificate. Depending on the route and the goods carried, a permit may also be required.
- Registration Certificate (RC): proves ownership and registration with the RTO.
- Insurance: at minimum third-party cover, which is mandatory for every vehicle on the road.
- Fitness certificate: confirms a transport vehicle is roadworthy. Validity depends on the vehicle's age.
- Road tax receipt: shows tax is paid for the state and period you operate in.
- PUC certificate: confirms emissions are within limits, and must be renewed regularly.
- Permit: state or national permits where your route requires one.
Validity periods and rules differ by vehicle age and by state, so confirm the exact requirements with your local RTO.
What should a driver carry on every trip?
The driver should be able to show the truck's papers on request, along with their own valid driving licence for the vehicle class. On mining routes, trip paperwork such as weighbridge slips and challans also needs to be kept safe and handed over after delivery.
How do you avoid missing a renewal?
Most expiry problems come from dates living in different places: a drawer, a WhatsApp chat, a driver's phone. A simple system fixes this:
- List every truck and the expiry date of each document in one place.
- Set a reminder at least 30 days before each date, so renewals are not a last-minute scramble.
- Keep a clear scan or photo of each document, so a copy is available when the original is not.
- Review the list once a month, starting with the truck that expires soonest.
How can an app help?
Fleet apps keep truck details and documents together and make the expiry list visible to the owner, not just the driver. Bohiba's document management is built for this: truck paperwork, trips and expenses in one app, so nothing depends on one person's memory. You can start on the free plan.
